Centralised Hotel Reservation System in OpenERP

                Centralised Hotel Reservation system is an OpenERP Solution from Zesty Beanz for linking different hotels in a country/region so that users can easily identify the availability of hotel services in a selected region and plan their journeys/schedules more effectively. OpenERP will act as the back end in this solution. Normal users will be interacting with this system through a web interface. This blog tries to provide an overview of the features in OpenERP perspective.

Features at a glance

*Allows the user to search and reserve a hotel room, and cancel the reservation at any time.

*Users can reserve rooms with their own preferences .

*Handles room services such as Taxi,Laundry,Ironing etc.

Reservation Process

When a user tries for a new reservation , the reservation number will be generated automatically and he can select the hotel in which the room is to be booked from the drop down list shown in below screenshot.

Under the Reservation tab, select the guest name. The ‘Date Ordered’ field will be the current date by default. User can select expected arrival and departure date. The fields ‘Adult’ and ‘Child’ have to be filled .

 

Under the section ‘Room Type’, checkin and checkout dates are filled automatically which will be same as arrival and departure dates. In room types all types of rooms are shown and user can select desired room which is available on that particular period. Provide guest details if any.

 

 

When the reservation form is saved, it is converted into a non-editable form and duration of stay is automatically loaded.Click on the confirm button to confirm the reservation and then the state of reservation changes to ‘Confirm’.

Reservation Folio

From the reservation form a folio can be generated with an automatically created folio number and all the fields are loaded by default from the reservation form and is shown in the below screenshot.

 

The untaxed amount and the total amount can also been seen in this form. There are options to checkin and checkout.Once the user is checked in, an invoice will be generated and can also be viewed in pdf format.When the invoice is paid, the state of invoice changes to ‘paid’.

Major Advantages

* Linking of Hotels: Multiple hotels can be linked  to this system, which will be useful for hotel groups

* Room Blocking : – User cannot reserve rooms which are blocked for a particular time period.Rooms can be blocked from Configuration->Hotel(s)–>click on the button Block Rooms.

Now an ‘interactive window(wizard)’ pops up .Add suitable description, blocking period, and select rooms which are to be blocked.When the “Block Rooms “ button is clicked the selected rooms will be blocked.

 

 

* Availability Checking :- Users can check availability in a hotel for a particular period.

Go to menu Hotel Management–>Hotel–>Reservation Details–>Room Availability. Select the hotel in which user wishes to check availability, give start date and end date and then click on ‘Load Details’ button.The rooms that are vacant will be shown in green color and blocked rooms in red color.

 

Under the ‘Details ‘ tab ,the guest details for the selected period are also shown. The screenshot is shown below.
